2. Purpose and Types of Personal Data

We only collect and process personal data that is strictly necessary to fulfill our agreement with you regarding the delivery of export plates, insurance, and official authority processing. We process the following data:

• General Personal Data: Name, address, e-mail address, and phone number. The purpose is to communicate with you and fill out official documents.

• Identification Data: A copy of your passport, driver’s license, or other official photo ID. The purpose is to identify you to the Danish Motor Vehicle Agency (Motorstyrelsen/SKAT), which is a legal requirement to obtain permits and register the vehicle.

3. Legal Basis for Processing

The processing of your personal data is based on the following legal grounds:

• Performance of a Contract (GDPR Art. 6(1)(b)): The processing is necessary for us to fulfill our agreement to deliver export plates and related services to you.

• Legal Obligation (GDPR Art. 6(1)(c)): We are legally required to collect and present ID documentation to the Danish Motor Vehicle Agency to register the vehicle in your name. Furthermore, we are obligated to store invoice and accounting information in accordance with the Danish Bookkeeping Act.

• Legitimate Interest (GDPR Art. 6(1)(f)): For clients with ongoing or recurring orders (regular customers/frequent buyers), we store master data and ID documentation in our customer records. Our legitimate interest is to provide a fast, efficient, and smooth service for subsequent orders, so you do not have to resend your documentation every time.

4. Recipients of Personal Data (Disclosure)

To complete your case, we disclose your necessary information to the following external recipients and authorities:

• The Danish Motor Vehicle Agency / SKAT (for official processing and approval)

• Insurance Companies (for arranging the mandatory liability insurance for the vehicle)

Furthermore, we use IT providers (data processors), such as email and hosting providers, who process data solely on our instructions and in accordance with entered data processing agreements. We never sell your data to third parties.

5. Storage and Deletion

We only store your personal data for as long as it is necessary for the purpose for which it was collected:

• One-time Customers: If you only use our service once, your ID documentation (passport/driver’s license) will be permanently deleted as soon as the export plates have been delivered and the case is officially closed with the Danish Motor Vehicle Agency.

• Regular Customers (Frequent Buyers): If you are a regular customer or order export plates frequently, we store your master data and ID documentation for up to 2 years after your latest activity/order to ensure fast processing. You can, however, request the deletion of this data at any time if our cooperation ends.

• Invoice and Accounting Data: Information included in our bookkeeping (including invoices and documentation for expenses/outlays) is stored for 5 years from the end of the financial year in question, as required by the Danish Bookkeeping Act.

6. Your Rights

As a data subject with Paperwork.dk, you have several rights under the GDPR:

• You have the right to access the data we process about you.

• You have the right to rectify (correct) inaccurate information.

• You have the right to erase your data (unless the Danish Bookkeeping Act or Motor Vehicle Agency rules obligate us to store it).

• You have the right to object to our processing of your data.
